What to prepare

Start with the Spanish legal name and tax identification number (NIF) from the contract or invoice. An S.L. and an S.A. are company forms, while a commercial brand may refer to a different trading identity. If a company has moved its registered office, the relevant registry and historic filings deserve attention.

How to search the official register

Open the electronic office of Spain’s registrars and go to Registro Mercantil. Its company search accepts a name or NIF; then choose the product that addresses the question. For example, a nota informativa gives registered details and references to filings, while a certification has a distinct formal purpose.

Interpret the result carefully

Availability, identification and fees depend on the selected service. Do not treat a request for a certificate as though a search result were sufficient. Compare company identity and representatives with the contract, and verify sector licences through the relevant authority if the activity is regulated.

Which document do you need?

Ask the bank or buyer which product it requires and whether it wants current representatives, accounts or incorporation history. Provide the NIF, full Spanish denomination and intended country of use in your request.

If a search is inconclusive

If a search by brand yields nothing, try the full registered name and NIF. A provincial register or an older registered office may matter when following historic documents. Confirm whether the recipient asks for a nota informativa, certificate of current representatives or filed accounts: these products are not interchangeable, and access or fees can differ.
