What to prepare
The Dutch KVK Business Register contains companies and other legal entities. A trading name visible on a website may be one of several names used by the same business. Request the eight-digit KVK number where available and check whether a VAT identifier or branch number in your paperwork actually refers to the same legal entity.
How to search the official register
Search the KVK register by company name or KVK number. Compare the complete legal name, legal form, available address and whether the result is a company or a branch. A group may have several related registrations, so do not select a result only because it shares a name or logo.
Interpret the result carefully
KVK makes a basic search available without payment, while a Business Register Extract or financial statements may cost money. An extract contains different details from a search result and should be ordered only after confirming the bank’s or partner’s exact requirements.
Which document do you need?
Keep the KVK number and date of lookup. If the receiving institution requests an authorised representative, check whether that information is contained in the relevant extract. Tell us the requested document and its intended country of use.
If a search is inconclusive
If several results share one trading name, compare the KVK numbers and the legal forms behind them. A branch and its main organisation can have related but distinct identifiers in documents. When a counterparty gives a VAT number instead of KVK, ask it to confirm the registered legal entity rather than assuming the numbers refer to a single record.
